Version 2026-10-26-2. This notice explains how Ethica Capital LTD (“Ethica Capital”, “we”, “us”) handles the personal data you give us when you apply for a role through the Careers page on ethicacapitalltd.com. It sits alongside our Data privacy and protection policy, which governs how we protect personal data generally. Where the two differ on recruitment, this notice applies.
1. Who we are
Ethica Capital LTD, Suite 413, NAWA Complex, Plot 106 and 107, Ahmadu Bello Way, Kado, Abuja, is the data controller for your application. You can reach us about this notice at info@ethicacapitalltd.com.
2. What we collect
- Your first name, last name and email address.
- Your CV and any other documents you upload, such as a cover letter.
- Your answers to the questions on the application form for the role, which may include your phone number, experience, qualifications, availability and similar details.
- The date and time you applied, and that you agreed to this notice.
- Basic technical information needed to protect the form from abuse: a one-way scrambled form of your IP address and your browser's user agent.
Please don't include sensitive personal data (for example health, religious or biometric information) in your CV or answers unless a question specifically asks for it.
3. Why we use it
We use your data only to:
- assess your application for the role you applied for;
- contact you about your application, including to invite you to an interview; and
- keep a record of the recruitment process so we can answer questions about it or meet a legal obligation.
We don't use your application for marketing, and we don't sell it.
4. Our lawful basis
Under the Nigeria Data Protection Act (NDPA) 2023 we rely on your consent, which you give when you tick the box on the application form, and on the processing being necessary for steps you ask us to take before a possible contract of employment.
5. Who sees it
- Our HR team and the staff involved in hiring for the role.
- Service providers who host our systems, store your files and send our emails, under contracts that require them to protect your data and use it only on our instructions. Some of them store data outside Nigeria; where they do, we rely on the safeguards the NDPA 2023 allows for transfers out of Nigeria.
- Cloudflare, which runs the “verify you are human” check on the form and processes technical information about your browser and connection to stop automated abuse.
- Regulators, law enforcement or courts, but only where the law requires us to share it.
Your CV and documents are stored privately: they have no public web address, and our staff open them through links that expire after a few minutes.
6. How long we keep it
We keep applications for 12 months after the role closes, then delete them. We may delete them sooner if we no longer need them for the purposes above. If you're hired, the parts of your application we need become part of your staff record.
7. Your rights
Under the NDPA 2023 you can ask us to:
- tell you what personal data we hold about you and give you a copy;
- correct data that is wrong or incomplete;
- delete your data, or stop or limit how we use it;
- give you your data in a format you can pass to someone else; and
- withdraw your consent. Withdrawing consent doesn't affect what we did before you withdrew it, but we won't be able to continue considering your application.
Email info@ethicacapitalltd.com with your request and the email address you applied with. If you're unhappy with how we handle your data, you can also complain to the Nigeria Data Protection Commission (NDPC).
8. Changes to this notice
We may update this notice. The version at the top shows which one applies; each application records the version the applicant agreed to.
